How we handle your personal data

Your privacy is important to us, and our goal is to be transparent about how we handle your personal information so that you can be confident that we process it correctly and securely and in accordance with the General Data Protection Regulation (GDPR) and other applicable laws. In this Privacy Policy, we describe in detail how we handle your personal data. Our management is based on guidelines from Giva Sverige, the Swedish Fundraising Association that we and many others organisations are members of.

We have tried to be as clear as possible about how we handle your personal data. If you still have questions after reading this policy, please contact us and we will help you! Contact details are at the bottom of this page.

If you don’t want to be contacted by us, please send an email to avregistrera@sak.se. If you have only made a donation through Swish, make sure to include your name and phone number in the email so that we can know which donation you’re referring to. If you want to avoid marketing altogether, we recommend that you register with NIX-Telefon and similar registers used in Sweden.

Who is responsible for your personal data?

The Swedish Committee for Afghanistan (or SCA, org.no. 802010-4850) is the data controller. We are a non-profit association based in Sweden, but most of our operations are handled on site in Afghanistan. If you want to know more about what our organization looks like, click this link.

When you become a member of the SCA, you will automatically be assigned to a local association and your personal data will be shared with their representatives. Local associations are technically their own legal entities with separate legal responsibility for their handling of personal data. The SCA is the data controller and the local associations act as data processors for the SCA. However, we work closely with each other, share the same statutes, and regularly coordinate our administration. 

How does the SCA handle your personal data?

The SCA processes your personal data for various reasons depending on whether you are, for example, a member, donor or just subscribe to our newsletter. Within the SCA, access to your personal data is given to staff based on their area of responsibility. Elected representatives of our local associations only have access to information for members of their own association that is relevant to keeping in touch with their membership.

The SCA primarily collects personal data directly from yourself, and in some cases through third parties. When we collect information about you from third parties, we make sure to inform you about the source. We do this the first time we contact with you. We also regularly update our databases by crosschecking them with public databases to ensure that they are accurate and up to date.

Below is a list of all the purposes for which we might process your personal data and the legal basis for the processing. All purposes are defined from when we first collect personal data from you.

Donations

Which data is handled?

How do we collect the data?

  • When you donate to us.

How long do we keep your data related to this purpose?

  • We keep information about your donation for up to 3 years. This period of time is defined from the date you last contacted us or when you last made a donation.
  • Records relating to payment is kept for 7 years in accordance with the Swedish Accounting Act. This data is only used for payment administration and financial auditing.

Lawful basis for processing

  • For information about the payment itself, it is a matter of complying with the law, i.e. “legal obligation”.
  • For other information related to monetary gifts, we are fulfilling an agreement between you as a donor and the SCA as the recipient of your donation.
  • When you donate to us, we assume that you are interested in our work and what we stand for. We therefore believe that you may be interested in supporting us in the future, and that it also appropriate to inform you about our work and to solicit further donations. Our assumption is that we can contact you without violating your rights according to the GDPR.

Membership

How do we collect the data?

  • When you join the SCA by registering on our website, via Autogiro forms or through Swish.
  • If you participate and are active at our General Annual Meeting, or the annual meetings of one of our local associations.
  • When you participate in activities organized by the SCA or one of our local associations.

How long do we keep your data related to this purpose?

  • We keep data relevant to fulfil our commitments to you as a member as long as you are a paying member or active in other ways.
  • If you cancel your membership, we will specify you as a former member. For administrative reasons, we retain information about you until the end of the calendar year. After that, we will delete any data that may be linked to you.
  • If you do not pay for your membership, we will keep data for you until the end of the next calendar year so that we do not delete you unnecessarily. If we do not receive payment before the end of the next calendar year, your personal data will be removed from our membership database.
  • Personal data related to the administration of participation at our General Annual Meeting are saved for a maximum of 3 months after the meeting.
  • If you are an elected representative, personal data about you in meeting minutes, contracts, decisions and similar documents will be saved at least as long as the SCA exists as an organization to meet transparency requirements and our statutes.

Lawful basis for processing

  • When you become a member of the SCA, you enter a form of contract that includes certain rights and also some obligations, such as complying with the SCA’s statutes. When we handle your personal data as a member, we do it to comply with our obligations as part of that contract.

Events (conferences, seminars, lectures, etc.)

  • Name
  • Contact information: e-mail adress, phone number
  • Food preferences (where relevant)

How do we collect the data?

  • When you register for an event, we usually save your name and contact details if we need to reach you with information regarding your participation.
  • If we invite you, we will usually check information about you that is available in public, such as your work e-mail.

How long do we keep your data related to this purpose?

  • No more than 3o days after an event
  • Data on food preferences are deleted immediately after an event

Lawful basis for processing

  • When you are active in relation to the SCA, we assume that you are interested in our work and what we stand for. We therefore believe that you may also be interested in us in the future, and that it is relevant to inform you about ways to continue supporting us. Our assumption is that contacting you again will not be a violation of your rights according to the GDPR.

Subscriptions

  • When you sign up to subscribe to our newsletter.

How long do we keep your data related to this purpose?

  • As long as your subscription is active.

Lawful basis for processing

  • We save the data that you have shared with us as long as your subscription is active in order to send you the newsletter. 

Petitions

Which data is handled?

  • Name
  • Contact information

How do we collect the data?

  • When you sign a petition or petition with a specific purpose and aim.

How long do we keep your data related to this purpose?

  • We will retain your data for a maximum of 12 months after you sign a petition.

Lawful basis for processing

  • We assume that by signing a petition you are interested in advocacy work to support the people of Afghanistan. Therefore, we consider it relevant to retain your data for a longer period than usual and to also contact you to see if you are interested in supporting us in any other way. 

Communication about support for our work

Which data is handled?

  • Name
  • Swedish personal identity number
  • Contact information: phone number, e-mail address, postal address
  • Information about your donations to the SCA, if you are a member or otherwise been active in relation to us

How do we collect the data?

  • When you donate to us, become a member or when you have actively contacted us and shown interest in our work.
  • By purchasing the data from external suppliers. If we purchase data, the source is always reputable public databases.

How long do we keep your data related to this purpose?

  • Up to 3 years after you last contacted us or were active by providing donations, being active as a member, attending events or requesting information about our operations.
  • If we have collected your data from an external party, we will retain it for a maximum of 6 months after it has been purchased from the supplier unless you choose to become a donor.

Lawful basis for processing

  • When you are active in relation to the SCA, we assume that you are interested in our work and what we stand for. We therefore believe that you may also be interested in our work in the future, and that it is therefore relevant to inform you about how to support us. We have determined that contacting you again is not a violation of your rights according to the GDPR.
  • When we purchase your data from public databases, the purpose is to maintain stable financing of our activities We believe that it is in your interest to be contacted by us to contribute to our future work for the people of Afghanistan. 

Job applications

Which data is handled?

  • Name
  • Swedish personal identity number
  • Contact information: phone number, e-mail address, postal address
  • Documentation that may be required to apply for a position, such a CV, cover letter, references, work samples, etc.

How do we collect the data?

  • When you apply for vacancies with us or if you submit spontaneous applications.

How long do we keep your data related to this purpose?

  • We save your data for 12 months after the application deadline for the current position.

Lawful basis for processing

  • We retain your personal data for 12 months after the application deadline to fulfil our obligations as an employer under the Swedish Discrimination Act.

Your rights

You have the right to access the personal data registered with us at the SCA. You can do this by contacting us at the SCA in writing. You can send the request either by e-mail or regular mail (see contact details at the bottom).

You also have the right to request that we correct your personal data, or that we stop processing your data, as well as requesting that we delete it from our databases altogether. Keep in mind that if you request that we delete some or all of the information about you, there may be commitments that we can no longer fulfill, such as your membership in the SCA.

You have the right to contact the personal data enforcement authority, the Swedish Privacy Protection Authority, if you believe that we have not processed your personal data in a lawful manner.

Publication of personal data

In our periodical Afghanistan-Nytt, in various information material and on this website, we regularly publish information about the people we support in Afghanistan, our active members and individuals who are involved in our activities. We often use their names, personal information and sometimes even photo and video of people. We often do this as part of interviews where we inform that the interview will be published. We may also publish information for journalistic purposes and in those cases make sure that we follow established media ethics.

If you appear on our website with your name or picture and wish us to remove the information, please contact us. We can remove information about you in printed material, but only for future editions, not those that have already been printed and published. Information that is already publicly available will generally not be removed.

 

Photo and video

The SCA is an aid organisation tasked with promoting the rights of the Afghan people. As a rights-based aid organisation, respect for those portrayed in our images is an important part of our work, and we want to make sure that no one is photographed or has their picture published against their will. People portrayed in our operations in Afghanistan are always given the choice to approve that we take their pictures of them and share or publish them, either in Afghanistan or in Sweden.

None of the images we publish should be offensive or embarrassing to the depicted individual. As part of our communication efforts in Sweden, we obtain consent for those images that are not considered to be for journalistic purposes. Images that we publish as part of fundraising campaigns must always have written consent, regardless of where the images are used.

We also publish articles with pictures in our periodical Afghanistan-nytt. We republish them occasionally, as well as opinion material on our website and in our social media channels. Anyone depicted will have their picture removed if they request it.

Do we share your personal data with others?

To provide good service and uphold efficient administration, we share some of your personal data with suppliers who provide us with services, usually various types of IT systems. The services that we purchase from suppliers include, among other things, postal distribution, analysis of donor groups, payment services, conferences, and basic office administration. Our suppliers only have access to data about you that is required to perform the services we purchase from them. For all suppliers, we establish data processing agreements where we specify that a supplier may not keep the data after they have performed the assignment, or to use the data for their own purposes.

Sharing information outside the EU and EEA

Our digital image archive is in part managed jointly by our communication staff in Sweden and Afghanistan. If we have taken a photo of you, for example during an interview or at one of our events, it is generally available to the SCA’s communicators who live and work in Afghanistan.

Links to other websites

This Privacy Policy only applies to activities that we ourselves organize and communicate, or that we do through our suppliers. In these cases, it is always clear that it is we at the SCA who handle your personal data. Personal data that you provide to others, for example by following links to other websites, is not the SCA’s responsibility.
